Design Process Steps

STEP #1: PRE-CONSULTATION PREPARATION #

  • Conduct research on the client and property, utilizing GIS basemaps and photos where available.
  • Maintain an updated portfolio showcasing past and current design projects.
  • Prepare essential site analysis tools including a camera, measuring tape, wheel, soil testing kit, and materials for note-taking.

STEP #2: INITIAL GREETING AND INTRODUCTION #

  • Offer a professional introduction, clarifying the objectives of the consultation.
  • Establish a rapport with the client to foster a conducive environment for effective communication.

STEP #3: CLIENT INTERVIEW #

  • Utilize open-ended questioning to capture the client’s vision, requirements, style preferences, and budget.
  • Explore the client’s intended use of the space, discussing desires for features like entertainment areas, relaxation spots, or gardens.
  • Detail specific features the client wishes to incorporate such as lighting, water elements, outdoor kitchens, or patios.
  • Clearly outline the design fee structure and payment terms, ensuring the client is aware that this fee encompasses the development of a tailored sitemap and design plan.

STEP #4: SITE ANALYSIS #

  • Perform an in-depth on-site evaluation alongside the client.
  • Assess environmental conditions including soil type, drainage patterns, existing flora, light exposure, and topography.
  • Document the site through detailed measurements and photographs.

STEP #5: DESIGN FEE AGREEMENT #

  • Secure a formal agreement on the design fee and collect payment before advancing to the next phase.

STEP #6: SITEMAP DEVELOPMENT #

  • Compile detailed measurements, GIS data, and photographic evidence to generate an accurate sitemap using AutoCAD.
  • Translate AutoCAD files into VIP3D for a realistic 3D model of the project, ensuring close resemblance to the actual property through photo verification.

STEP #7: DESIGN DEVELOPMENT #

  • Integrate client feedback to devise solutions that align with their vision and budget.
  • Craft design elements that reflect the desired aesthetic, whether natural, modern, or formal.
  • Produce comprehensive digital and physical documentation including 3D walkthroughs, plan views, plant imagery, design slides, and specialized plans like lighting or hardscaping layouts.
  • Provide regular updates to clients in the design queue.

STEP #8: COST ANALYSIS AND TIMEFRAME ESTIMATION #

  • Construct a detailed cost breakdown using tools like Aspire or Excel, specifying costs, quantities, sizes, and estimated completion time.
  • Determine pricing to calculate project gross margin and establish a realistic job installation schedule.

STEP #9: DESIGN PRESENTATION, REVISIONS, AND FOLLOW-UP #

  • Present the finalized landscape design to the client, showcasing proposed changes and detailing cost implications.
  • Engage in a collaborative review process to make any necessary revisions based on client input while offering alternative solutions as needed.
  • After reaching a final design agreement, draft a formal project proposal including all design documents in Aspire.
  • With project approval secured, add the job to the ordering list and schedule it for installation.
