Account Manager Customer Cancellation Process (Maintenance and Construction) #
- Cancellation Request: The customer must submit a cancellation request in writing, either via email or letter.
- Service Type Assessment: Determine the type of service contracted, whether it’s Ala Carte/One Time Maintenance, Recurring Maintenance, or Construction.
- Ala Carte/One Time Maintenance & Construction Services: If the cancellation occurs within Three (3) business days of the start date, the customer should be notified about a cancellation fee. This fee is $100.00 for Ala Carte/One Time Maintenance services and $500.00 for Construction services, plus the cost of all ordered materials.
- Recurring Maintenance Contracts: If services have already commenced and a cancellation request is received, inform the customer about the $250.00 cancellation fee. If they are on a fixed payment schedule, the entire monthly payment is due, regardless of whether services were performed, in addition to the $250.00 cancellation fee. – Note: No cancellation fee will be applied for chemical treatments. For full service recurring maintenance customers, cancellation fees will be considered on a case-by-case basis based on what’s canceled.
- Notification to Scheduling: The Account Manager will email the scheduling department at scheduling@dreamgreener.com with the cancellation details, including the client’s name, specific services to be canceled, and the effective date of cancellation.
- Chemical Services Notification: For clients with a full maintenance contract, Sherry must be copied on the scheduling email to ensure she is informed that any chemical services will also be discontinued.
- Final Payment Processing: The Account Manager will email Accounts Receivable at AR@dreamgreener.com for any inquiries or actions related to final payment or cancellation fees. Accounts Receivable will also be responsible for sending a notification to the client confirming the cancellation and detailing any final payment processed.
- Customer Records Update: Accounting department will update the customer’s account to reflect the cancellation and include any applicable fees.
- Follow-Up Correspondence: Accounting department will send a follow-up email or letter to the customer confirming their cancellation and providing a breakdown of any fees charged.
LANDSCAPE MAINTENANCE SERVICES #
If the Owner terminates this Agreement after commencement of the Work, the Owner shall pay for all work completed at the time of termination, all materials purchased for the project as of the date of Termination, and a lost opportunity fee which shall be the lesser of five-hundred dollars ($500.00) or 10% of the balance of the Contract Price due after the payments for work completed to date and materials purchased for the project are made.
Termination of Ala Carte, One-time, Single Service, or Single Product Agreement – Prior to the commencement of services or products under this Agreement, Owner must provide notice of cancellation via email or in writing to Contractor at least ten (10) days prior to the commencement date identified in the Service Schedule Timeframe under this Agreement. Except for any cancellation by the Right to Cancel date indicated above, any cancellation within three (3) days of the start date listed in the Service Schedule Timeframe will be subject to a $100 lost opportunity fee. This provision does not apply to agreements for recurring services and/or products.
Termination of Recurring Term of Service and/or Products – After the Contractor commences the services for a Recurring Term of Service and/or Products, if the Owner terminates the Agreement, such Termination shall be subject to a $250.00 lost opportunity fee to be paid to the Contractor.
LANDSCAPE CONSTRUCTION SERVICES #
Except for any cancellation pursuant to the Right to Cancel date indicated above, any cancellation within 10-days of the Date of Commencement of the Work shall be subject to a Contractor’s lost opportunity fee which shall be the lesser of five-hundred dollars ($500.00) or 10% of the stated Contract Price. Termination of this Agreement prior to commencement of the Work shall be in writing.
